My hospital emailed me a medical records release form as a PDF. They told me to print it, fill it, sign it, scan it and return it to the medical records department, in that order. In 2018? To get the form via email (i.e., electronically), yet be asked to print it? Did the last 20 years just… not mean anything! So I thought I’d be clever. I’d fill it first, THEN print it. Or better yet, never print it, but sign it anyhow, and return it along with a note making the case for improving their workflow. August 6, 2009 (Berlin, Germany and Silver Spring, Maryland, USA) – The PDF/A Competence Center (www.pdfa.org) and AIIM (www.aiim.org) announce the first U.S. based PDF/Archive seminar on September 15, 2009 at McCormick Place in Chicago as a part of PRINT09 (www.print09.com). This half day, vendor neutral informational seminar provides a unique opportunity for attendees to learn about the PDF/A file format while attending the premier printing industry event, PRINT09.
“The attendees of similar events held in Europe praised not only the content and quality of the seminar but also the location of the seminar with an event such as PRINT09,” explained Harald Grumser, executive chairman of the PDF/A Competence Center. “There is little effort involved in combining participation in our seminar with a visit to PRINT09.”
Attendees will learn about how ISO 19005-1, Document management Electronic document file format for long-term preservation Part 1: Use of PDF 1.4 (PDF/A-1) defines a file format based on Portable Document Format (PDF) which provides a mechanism for representing electronic documents in a manner that preserves their visual appearance over time. PDF/A or PDF/Archived is a subset of PDF, which is widely accepted for delivery of final-format documents. Attendees will also learn about how the standard is being and can be applied as well as the advantages for using the file format.
A variety of topics including the basics of PDF/A, converting paper-based and electronic documents to PDF/A, managing PDF/A documents, metadata, and digital signatures will be addressed by experts. Stephen Poe, Crawford Technologies, will open the seminar providing an understanding of PDF/A in his PDF/A 101 presentation. While the use of electronic documents has increased exponentially, organizations still need to convert paper-based. Mark McKinney, LuraTech will explain how paper can become digital in his presentation. Jörg Palmer, Compart AG, will share how the PDF/A documents once created can be output and used in your organization. Leonard Rosenthol, Adobe Systems, will explain the use of metadata and digital signatures in PDF/A documents. With this common understanding of PDF/A, Stephen Levenson, International Convenor for PDF/A from U.S. District Courts, will share interesting case studies on how PDF/A is being used today.
“At this time, the use of PDF/A is not mandatory in the United States,” said John Mancini, President, AIIM, “however, that is changing.” “We are learning of draft legislation that is being debated that will make the use of PDF/A mandatory for preserving electronic documents. This seminar complements AIIM’s PDF/A training by providing an additional excellent opportunity for organizations to learn about PDF/A and how it can be implemented.”

The ISO 19005 standard (PDF/A) defines requirements for creating documents suitable for archiving based on the widely available PDF format. The standard specifies in detail what content is allowed and what is not. These and other specifications are intended to ensure long-term readability of the documents regardless of the application software and operating system in which they were originally produced. Experts predict that the designation of PDF/A as an ISO standard will promote the popularity of that format, and advantages such as full-text search capabilities will lead to it replacing TIFF in the near future.
