My hospital emailed me a medical records release form as a PDF. They told me to print it, fill it, sign it, scan it and return it to the medical records department, in that order. In 2018? To get the form via email (i.e., electronically), yet be asked to print it? Did the last 20 years just… not mean anything! So I thought I’d be clever. I’d fill it first, THEN print it. Or better yet, never print it, but sign it anyhow, and return it along with a note making the case for improving their workflow. February 12, 2008 (Berlin) – Visitors to this year’s CeBIT will find innovative products for PDF/A the ISO standard for long-term archiving at the booths of PDF/A Competence Center members.
A total of nine members of the PDF/A Competence Center will be represented at the world’s largest ITC trade show: DETEC Decision Technology Software GmbH, Janich & Klass Computertechnik GmbH, LuraTech Europe GmbH, Nuance Communications, OPENLiMiT SignCubes AG, Optimal Systems GmbH, SEAL Systems AG, secrypt GmbH and Satz-Rechen-Zentrum (SRZ).
Here is a summary of the exhibitors and their products, ordered by exhibit hall and stand:
LuraTech Europe GmbH (Hall 3, Stand A 29).
Luratech will demonstrate the new LuraDocument PDF Compressor version 5.0. Companies can use the PDF Compressor to cover the entire process after document scanning up to the export for long-term archiving. In addition to compression, conversion to PDF and PDF/A, full text OCR and electronic signatures, the new version offers document classification and form data extraction. The compressor software now also supports systems with several physical processors as well as systems with multicore processors. This increases the data throughput with each additional processor core by nearly 100 percent. Thomas Zellmann will also be present as a contact person from the PDF/A Competence Center executive committee.
Satz-Rechen-Zentrum (SRZ) (Hall 3, Stand B 45 and B 53)
SRZ will show the latest version of its ProScan V3 production software at the Inotec GmbH booth. The new features include output of PDF/A documents either directly during scanning or in batch operation after scanning. The PDF/A document can be created as an image or optionally include full text indexing from OCR. At the partner booth of i2S, a manufacturer of book and overhead scanners, SRZ will demonstrate the direct output of PDF/A with ProScan V3 and the i2S CopiBook, a book scanner that is easy to operate and offers outstanding image quality in grayscale and colour. SRZ also offers document digitization services and the creation of structured and searchable PDF/A documents at its production center or on location.
Janich & Klass Computertechnik GmbH (Hall 3, Stand B 55)
Janich & Klass will present the new DpuScan version 5.0, a scanning software solution. Its features include integrated OCR, colour recognition and separation, the ability to recognize different barcode and patch code types as well as filter and image enhancement processes which make even nearly illegible material readable. DpuScan offers various file formats for saving data, including PDF/A. Version 5.0 of DpuScan includes a server option for the first time. However, it can also continue to be used as a standalone application. If a server is present, the DpuScan client communicates with the server using web technology. License management can be handled locally with a dongle on the client workstation or via the server (with the dongle and license file on the server).
Optimal Systems GmbH (Hall 3, Stand C 20)
Optimal Systems will present their enterprise content management system with the slogan “100% ECM”. The focal points of their CeBIT participation are user-oriented solutions for contract management, e-mail archiving, invoice processing and customer relationship management. The company is the first producer of ECM software to join the PDF/A Competence Center. Accordingly, OS.5|ECM fully supports the standard for archiving documents. As of version 5.50, OS.5|ECM provides a large selection of tools for generating and saving documents in PDF/A format. The source material for these processes can have any characteristics, be derived from various applications, or be hardcopy. The software can convert all documents in the various formats and save them as PDF/A.
DETEC Decision Technology Software GmbH (Hall 3, Stand E 57)
Bulk PDF/A-compliant document production with qualified electronic signatures is the focus at DETEC. The product “myPDFconvert” transforms PDF documents and image data into PDF/A-compliant documents, correcting non-standard elements while doing so. The text extracted from images is embedded in the output PDF/A document, making it subsequently searchable. The new version of the software includes an API for third-party applications. Furthermore, DETEC will also exhibit “DoXite”, the company’s new product for document production and workflow control, using communication with the “digiSeal server 2” signature server from secrypt. Documents can be printed, processed for archiving according to the ISO PDF/A standard with a qualified signature, and distributed electronically.
SEAL Systems AG (Hall 4, SAP partner booth)
As a specialist for format conversions of all kinds, SEAL Systems has created a new product line: the PDF Longlife Suite includes everything needed to work with PDF/A. ConvertWIZ creates PDF/A documents from any application as simply as printing. PDF Checker checks the compliance with the standard. PDF Adjust can correct defective and non-compliant PDF files. It includes integration in SAP DVS with two key functions: checking the existing data in the content server with associated reporting and integration of PDF Checker/Adjust in the check-in process. The PDF Longlife Suite is available as a server version and is thus particularly well-suited for company-wide use.
secrypt GmbH (Hall 6, Stand G 40)
Secrypt GmbH is ISO 9001-certified and is promoting their expanded digiSeal server 2. Now all formats, from the PKCS#7 variants for PDF and XML signatures through to 2-D barcode signatures, can be used for the verifiable, legally binding printing of signed documents and transmission of signed fax documents. In addition, the digiSeal server 2 facilitates the generation of PDF/A-compliant signatures. Multiple processes can also be handled simultaneously: the functions for signing, verification, time-stamping, encryption and e-mail can be combined and run in parallel. The option for paper printing of electronically signed documents in a verifiable, legally binding manner gives secrypt a unique selling point worldwide.

PDF/A is the ISO 19005 standard for long-term archiving in PDF format. The standard specifies in detail what content is allowed and what is not. These and other specifications are intended to ensure long-term readability of the documents regardless of the application software and operating system in which they were originally produced. Experts predict that the designation of PDF/A as an ISO standard will promote the popularity of that format, and advantages such as full text search capabilities will lead to it replacing TIFF in the near future.
About the PDF/A Competence Center
The PDF/A Competence Center was established as an international association in 2006. The objective of the association is to promote the exchange of information and experience regarding long-term archiving in accordance with ISO 19005: PDF/A. The management board is composed of executives from callas software GmbH, Compart Systemhaus GmbH, intarsys consulting GmbH, LuraTech Europe GmbH, PDF Tools AG (CH) and PDFlib GmbH.
